This can happen in the winter after winter’s first thaw and ice that accumulated on a roof now melts and can attack the inside of a building.   • Roof: inspect and repair. Seal around vents and other protrusions to prevent roof leaks.
  • Gutters and downspouts: remove all obstructions and make sure they are properly secured.
  • Exterior water lines: drain and winterize to prevent pipes from freezing.
  • Drains: clear debris so that water drains away from your property.
  • Basements: are you prepared for water backups?
  • Trees: inspect trees near structures and walk areas and remove unsafe branches.

Building Interior

  • Furnaces: inspect, tune-up, check filters, check venting and assure property clearances to combustibles.
  • Space heaters: prohibit or minimize use and assure safe location and operation.
  • Wood-burning stoves and chimneys: inspected for safe use.
  • Interior pipes: protect from freezing. Be very careful if attempting to thaw a frozen pipe. Do NOT thaw frozen pipes with open flames or torches.
  • Faucets: leave dripping during intense cold.
  • Alarms: test all fire, smoke and carbon monoxide detectors.
  • Smoking: it may be cold outside but do not allow smoking inside of your building.

Standardized policies should outline responsibilities and accountability for all employees. Safety goals can become part of job descriptions and employee reviews. Safety committees can help ensure that safety practices are understood and reinforced throughout the company.     "The following four steps can serve as a starting point in driving safety across your business.

    1. Evaluate risks. To understand how to create a safer workplace, you must first understand the risks you face every day. Each task and associated risk should be properly evaluated, and safety-based changes should be considered.

  • Analyze past incidents and near misses.Understand that past incidents can help you identify root causes and identify risks and exposures that threaten the safety of your employees and the success of your business.
  • Identify the risks before they result in loss. Review your work policies and procedures, buildings and equipment, employee work practices and behaviors and geographic location to determine if there are opportunities to prevent or mitigate loss. And hold people accountable to the practices.
  • 2. Design a plan to keep safe. A good plan is the best place to start, but it is only the beginning. Once you have a plan, you must act to eliminate or minimize risk.

  • Get commitment. Your management team should be committed to a safety culture from the beginning.
  • Stay focused. Keep focused on the risks and exposures identified during your evaluation.
  • Prioritize your efforts. Focus on the risks that pose the greatest threat. You should consider frequency and severity of the loss potential, and/or the opportunity to prevent or mitigate risks.

  • 3. Implement your plan. Implementation entails communication of the plan and its details, training, regularly scheduled practice and drills, and ongoing review. A thorough plan will cover a number of potential risk areas, including buildings and equipment, the environment, employees, customers and vendors.

  • Communicate and train - the real test of a safety program and culture is not what is written down on paper, but rather how well it actually works. How well your plan works is often dependent on what your employees know and what they do at the time of an incident.
  • 4. Monitor, evaluate and improve your plan. As your business environment changes, so should your safety program. Regularly test your plan to determine if it fits the changing business environment and reflects changing accountabilities.

  • Monitor the plan and collect feedback to determine the effectiveness of the plan.
  • Regularly compare your safety performance against the plan’s expectations.
  • Make adjustments when necessary.
  • Recognize success. Be sure to communicate and celebrate your safety successes.”

  • Slippery surfaces, such as a gloss-finished tile, polished stone, etc.
  • Holes or broken surfaces.
  • Uneven walking surfaces.
  • Poorly marked and/or poorly lit walkway transitions.
  • Wet surfaces caused by spills or poor drainage.
  • Slippery conditions due to mud, ice or water during inclement weather.
  • Creating a Safe Passage

    Routine inspection and maintenance should be a regular part of your safety program to help prevent falls for both your visitors and employees.

  • Design your entrances and walkways to accommodate the expected volume of foot traffic through your business.
  • Conduct periodic walkthrough surveys of your premises to help ensure your property is kept in safe condition.
  • Ensure all walkways are properly lit.
  • Maintain all flooring surfaces at all times.
  • Use slip-resistant floor treatments, especially in areas proven to be wet.
  • Apply floor treatments to manufacturer’s instructions.
  • Use “wet floor” signs to warn of known hazards.
  • Schedule maintenance of floor surfaces during times of low traffic.
  • Have spill cleanup supplies readily available.
  • Ensure that entry areas are properly maintained and any mats are secured.

    “What steps should I take to maintain carpet in a high-traffic area on a daily basis, and to deal with spills and stains?

    ·         It's a good idea to keep sand, grit and grass clippings off walkways outside entries to prevent inward tracking of these abrasive soils.

    ·         Purchase a properly sized entry mat, the bigger the better.  There must be room for at least two steps to sufficiently wipe soil from feet before encountering the installed carpet. A carpet with a nylon face and vinyl back is best for moisture and oils absorption, combined with the resiliency necessary to collect a quantity of particle soil. The IICRC suggests a rental mat, since that guarantees frequent maintenance. Place entry mats on hard surfaces rather than on carpet where they can trap moisture or cause plasticizer migration.

    ·         Vacuum, vacuum, vacuum daily, especially after major events. The sooner you collect soils from the surface, the easier it is to remove them. For most carpet, you should use an upright vacuum with brush agitation, unless your canister vacuum is particularly well designed. The wider the head, the more efficient.

    ·         Typically, deep cleaning should be accomplished on at least a semi-annual basis, with no more than two entry and high-traffic area "rinse" cleanings between the deep cleaning. This is dependent on traffic and daily maintenance as well. At a minimum, some attention should be given to primary entry areas on a quarterly basis.

    ·         If spots are treated immediately, most will respond with plain warm water and very little mild detergent added.

    ·         Use high-efficiency double-lined poly-fiber collection bags. This reduces periodic maintenance such as dusting of furniture, heating, ventilation and air conditioning (HVAC) filter exchange.

    ·         Make sure the HVAC system is slightly positively pressurized as well, which means that air is going out when doors are opened, rather than being sucked in. Proper air exchange rates can be calibrated according to ASHRAE regulations for the building with a trained HVAC contractor.

    ·         Ensure proper air filtration through the HVAC System. High-efficiency pleated filters, rather than inexpensive fiberglass filters, are recommended.”
